What does Cloud Based System mean?
Cloud Based System means Keyventory manages your all your information, systems, backups, upgrades, monitor performance and apply security patches. It means you get new features as they appear. The Keyventory application and your data is in a secure data center with backup power, multiple fiber channels to the internet and room for unlimited growth. No need to manage versions or run upgrades, your subscription means a professional and experienced team manage the details so you can go about managing your business. The only system requirement to run Keyventory is that you have a computer with internet access, a web browser and USB slots for a bar code.
What is a Property?
In the Keyventory system a property is anything that can be connected to assets like key rings, garage door openers, fans or any other asset. A property can be a House, Apartment, Condominium, Office, Data Center Rack, Car, Truck, Tractor, Cient etc…
What is an Asset?
An asset is any item tracked by Keyventory. If you can attach a bar code tag or sticker to the item, it can be an asset. Assets are what get checked in and out of Keyventory and what is reported on, reserved and alerted.
What is a Division and why do you charge by Division?
In Keyventory a division stands for a specific office for a firm. If a real estate management company, data center, car dealer has more than one location, that would count as a separate Division. The main idea here is a single Keyventory subscription should not be used by a corporate headquarters for all regional offices. Each regional office should either have it’s account or be demarcated by division.
Is there a limit to the number of properties for Division?
It is recommended that each division have less than 10,000 properties. If it looks like your division will exceed that amount contact us at sales@Keyventory.com and we can make account adjustments.
Is there a limit to the number of Assets per property?
It is recommended that you keep assets per property to less than 100. If it looks like you have a use for Keyventory that will exceed that amount contact us at support@Keyventory.com and we will see if we can accomedate that application.
Do I need unique barcodes numbers assigned to tags and labels to use Keyventory?
As long as the bar code numbers are unique to your company and all divisions, you can use any numbers you like.
What number sequences should I use for my tags and labels?
One way to do it is to start each label with a different 100,000 value. So the first 5000 tags could be labeled, 100001-105000, the first 5000 paper labels could be 200001-205000 and the first 5000 vinyl labels could be 300001-305000.
What Barcode Encodings should I use?
Keyventory was developed using Code 128 A but should work with most encodings. If you have a question just ask support@keyventory.com.
How Do I make the page smaller or larger.
On PC’s use the CTRL + or - button, on Macs use Cmd + or -.
Is there a limit to the number of active users in Keyventory?
We currently limit each account to 30 active users per division. If you would like to purchase additional user package subscriptions, go to our store page. A package of 20 additional users is available on the store page for an additional monthly fee. Remember to go to the Administration for Users and Archive employees that are no longer active. They will not be counted against your active user cap.
Why can you see Archived items in Admin pages?
Because Keyventory keeps a complete history of what goes on with all assets. It is important to keep old information like user name or vendor names in the system so they show up in history and reports. Keep in mind Archiving an item does keep it from appearing in drop downs selections.
What happens to a property when it is Archived?
Keyventory renames the property and door number to include the word Archive + [Property Name]+ current date time and time the property was archived. This renaming is done so that it can be re-added later without breaking checks for duplicate property names. It also archives all the associated assets. Archiving a property also clears all the bar codes associated with that properties. The existing tags can then be re-used for other assets. Functionality to un-archive a property is planned for a later date.
What happens to an asset when it is Archived?
The asset name gets changed to Archived+ [Asset Name] + current date time. This renaming is done so that the same asset can be re-added later without tripping checks for duplicate asset names.
Do I need to user Keyventory’s Tags or Labels or can we use our own?
Keyventory provides tags and labels to get you up and running, it also includes a mail service for returning keys. You can absolutely print your own tags and labels. Just make sure you all the bar codes are unique. Keyventory was developed using Code 128 bar codes, but the system will support most any bar code codex. Do I need to purchase a bar code scanner from Keyventory?
Keyventory was developed and tested with multiple USB bar codes scanners. The scanners we sell in our store have been tested and we know the with our system. In our experience the less expensive scanners have a slower response time, and the more expensive ones have faster response time or wireless capabilities.
What Is Kiosk Mode and why would we use that feature?
Kiosk Mode was create for the busy office where a single computer (Kiosk) is shared amongst many employees so that the users can be switched quickly either using a simple pin, a bar code attached to the users access card or key chain. The Keyventory appliction first authenticates by a normal user login where users log into Keyventory using their unique user name and a secure password. At that point when the Kiosk tab is pressed the user is logged out but the company information is retained so that users can easily and quickly switch between users using their Kiosk Pin.

Absolutely, send the list with your company name and your user name to support@Keyventory.com and if we will get you going.
Why am I not getting Emails like my password change request or Asset Alerts?
Sometimes these messages get flagged as spam. Check the junk mail folder in your email. Add support@keyventory to your contact list.
